CFHI is seeking a full-time Program Assistant to complement the Northern and Indigenous Health Team:

Reporting to the Senior Improvement Lead, the Program Assistant will be responsible for supporting the implementation of the portfolio’s program of work in meaningfully engaging ways, which, in the case of the Northern and Indigenous Health portfolio, also includes support in delivering the Promoting Life Together Collaborative (Suicide Prevention/Life Promotion).

Working in collaboration with the team and external partners, the Program Assistant will be responsible for four primary areas:

  • Provide a high level of program and administrative support to the Director/Senior Improvement Lead as well as to their respective team;
  • Coordinate meetings and events in the program area, including online programming and meetings that facilitate evidence-informed innovation in healthcare organizations and that link healthcare leaders who are central to CFHI’s strategic priorities;
  • Provide general program support and coordination to the team including preparation of briefing materials to support planning and program development.
  • Support the planning and delivery of CFHI’s collaboratives.

If you have the following experience and skills required to succeed in this role, we want to hear from you!

  • Bachelor’s degree in office administration, business administration, healthcare improvement or a combination of experience and education.
  • Minimum of (3) years assistant/program assistant experience in a fast-paced environment; preferably in a healthcare or not-for-profit organization.
  • Bilingual in French and English is preferred (English and French communication skills at the Advanced “C” level).
  • Advanced computer and software skills including word processing, spreadsheets, presentations, contact management systems and databases, electronic mail, calendaring, and knowledge of online learning platforms (e.g. Desire2Learn).
  • High degree of professionalism to handle sensitive and confidential information as well as internal and external high-profile telephone calls.
  • Must be able to provide quick turnaround of unanticipated requests.
  • Solid experience in and strong knowledge of event management and planning, specifically involving high-profile individuals and complex logistics.
  • Highly developed interpersonal, verbal and written communications skills, exercising discretion and diplomacy in working with others, including all levels of management.
  • Advanced project management and organizational skills combined with the ability to effectively meet deadlines and prioritize and organize work flow involving collaborative efforts to ensure effectiveness and efficiency; ability to plan and carry out broad assignments including planning and coordinating large and small events, meetings, etc.
  • Problem-solving skills requiring probing for information to determine the nature of the problem; developing unique solutions.
  • Tact and diplomacy to deal with external contacts.
  • Well organized and attentive to details.
  • Ability to learn quickly and independently.
  • Work in a self-directed fashion making optimal use of time.
